Wedding Planning: 6 Tips for Staying Organized

Wedding planning advice from some of the best wedding planners in Calgary

Planning a wedding can be overwhelming! We asked some of the best wedding planners in Calgary what wedding planning tips they had for staying organized. Here’s what they had to say:

“When a couple hires me I give them a folder to keep all their wedding information sheets in, along with a plastic insert page for business cards. To stay organized one has to be organized. I also make up a planning schedule, a type of planning timeline, so that we all know who has to be hired and when…this helps the couple stay on track and also calm in moments of panic.”

“Hire a Planner! Obviously, I’m biased but I do believe every couple should have at least a Coordinator to ensure they stay on track with to-do’s and that the day goes smoothly and is stress-free.”

“The more organized you are, the better your wedding will stay organized and follow your timelines closely. Pay attention to all the details such as contracts. The key to the planning phase is to be structured and in essence protecting yourself from spending more than needed.”

“Record everything! Successful wedding planners have a way of recording & organizing the million tidbits of information that are pursuant to planning a wedding. For couples that don’t have a wedding planner, it’s time to dust off those Excel skills and start keeping track of the information and progress.”

“When it comes to staying organized I recommend a binder for contracts and other printouts as well as blank paper in the binder or a notebook to take notes so that everything is all in one place. You will have moments all the time leading up to the wedding where you think of something and you end up writing notes in your phone, on scrap paper and, well, all over the place… You can always add more to the binder but then when you want to look back on something it’s all in the same place. There are also many checklists of what should be completed so many months before your wedding if you don’t have a planner helping to keep you on track I do recommend using these so you have a plan. Finally, it’s better to be booking vendors and completing tasks earlier than later so that you don’t run into vendors already being booked and you overall don’t stress yourself out.”

“Figure out what kind of planner you are: are you a take-notes-and-organize-them-in-a-binder kind of person? or maybe a google-sheets-for-everything kind of person? Whatever kind you are – make sure your planning process aligns with your strengths and then delegate and hire folks to help you do what you aren’t good at. And of course: Even the most organized clients need a day of coordinator. If you do nothing else that you’d consider to be a “luxury” for your wedding, you should do this – which is actually more of a necessity! The best coordinators will help you confirm and enhance your plans leading up to the day in a way that you cannot do yourself – no matter how good a planner you are.”
